Automatically End Worker Shifts

The Auto End Shifts feature automatically ends all active worker shifts at a specified time. This helps prevent false alarms caused by workers forgetting to manually end their shifts. If your team consistently finishes work at a known time every day, Auto End Shifts can keep your monitors and workers from being contacted after hours.

 

Why Use Auto End Shifts

  • Reduce After-Hours Alerts
    When a worker forgets to end a shift, Ok Alone continues monitoring and may trigger missed check-in alerts. Auto End Shifts ensures all shifts close at the end of the day, eliminating those false alarms.

  • Simplify End-of-Day Workflow
    If you know every worker is off duty by, for example, 5 PM, you don’t need everyone to remember to press “End Shift.” The system does it for you.

  • Improve Monitor Efficiency
    Monitors see only active shifts during working hours. Once Auto End Shifts runs, they don’t need to sort through expired or forgotten shifts.

 

Prerequisites

  1. Admin Access
    You must be an Account Admin (or have equivalent permissions) to enable and configure Auto End Shifts.

  2. Feature Management
    Auto End Shifts is controlled by a toggle under Settings → Extra Features. Ensure this feature is visible and available.

1. Enable Auto End Shifts in Extra Features

  1. Log in to the Ok Alone dashboard at https://my.okalone.net.

  2. In the sidebar, click Settings.

  3. Select Extra Features.

  4. Under Dashboard Features, locate Auto End Shifts.

  5. Click the checkbox next to Auto End Shifts to turn it on.

  6. Click Update Your Feature Settings.

2. Set a Company-Level Auto End Shift Time

Once Auto End Shifts is enabled, choose a company-wide time for all shifts to end each day:

  1. In the sidebar, click Settings → Company Settings.

  2. On the right side of the screen, find the Auto End Shift Time field.

  3. Select the desired time (for example, 17:00 for 5 PM).

  4. Click Update to save.

All active shifts for every worker will automatically close at this time each day.

 

3. Set a Group-Level Auto End Shift Time

If you need Auto End Shifts to apply only to certain teams, configure it at the group level:

  1. In the sidebar, click Groups.

  2. Find the group you want to modify and click Edit.

  3. On the group’s settings page, locate Auto End Shift Time.

  4. Choose the time (for example, 18:00 for 6 PM).

  5. Click Update the Group.

Only workers assigned to this group will have their shifts ended at the specified time.

 

4. Alert Workers Before Their Shifts End (Optional)

If your account includes the Communication Plan, you can send an SMS reminder before Auto End Shifts runs so workers know to restart their shift if needed:

  1. Go to Settings → Company Settings.

  2. Find Alert Workers That Their Shift Is Ending.

  3. Check Yes to enable.

  4. Specify how many minutes before the Auto End Shift Time to send the SMS (for example, 10 minutes).

  5. Click Update.

Workers receive an SMS like “Your shift will end in 10 minutes. Reply ‘end’ to close or ‘ok’ to continue monitoring.”

 

Best Practices

  • Coordinate with Team Schedules
    Confirm that all workers indeed finish by the chosen time before enabling Auto End Shifts.

  • Communicate Changes
    Let workers know about the Auto End Shift time, especially if they occasionally extend their day.

  • Test During Off-Peak Hours
    First configure Auto End Shifts late in the day or on a weekend to verify behavior without disrupting active monitoring.

  • Use Group-Level Settings for Flexibility
    If some teams work different hours, set group-specific end times instead of a single company time.

 

Troubleshooting

  • Auto End Shifts Feature Missing

    • Make sure you have the necessary Admin or Feature Management permissions.

    • If you still do not see the toggle under Settings → Extra Features, contact customer.support@okalone.net.

  • Shifts Not Ending at the Scheduled Time

    • Verify the time zone for your account under Company Settings. The auto-end time uses the company’s time zone.

    • If a group-level time conflicts with the company time, group settings take precedence for that group’s workers.

  • Workers Didn’t Receive SMS Reminder

    • Confirm your account includes the Communication Plan.

    • Check that each worker’s mobile number is entered correctly in their profile (including country code, e.g., +1 604 555 1234).
