How to Use Timed Activity to Enhance Worker Safety

The Timed Activity feature lets workers set a one-time timer for specific tasks, giving them more control over their safety during jobs with varying durations or risk levels. This helps ensure that both workers and monitors stay informed and connected throughout the activity.

What is a Timed Activity?

A Timed Activity is a safety timer workers start for a specific task or event, with an optional description and duration. It allows workers to:

  • Set precise time limits for individual tasks

  • Provide activity details for monitor awareness

  • Extend the timer if the task takes longer than expected

  • Receive check-in reminders when the timer ends

How Does Timed Activity Work?

1. Creating a Timed Activity

  • Name your activity: Workers type a description of the task (e.g., client visit, equipment check) in the Describe Your Activity field. You can also include location or client details.

  • Set the duration: Choose how long the activity will last by selecting either:

    • How Long Will Your Activity Be? — select time in 10-minute increments, or

    • When Will Your Activity End? — select an end time in 30-minute increments.

  • Start the activity: Press Start Your Activity to begin the timer. The app will display the activity details and countdown.

2. Monitoring the Activity

  • The worker’s assigned monitor can see the timed activity and all its details in real time on the dashboard.

  • The worker’s app screen shows the running activity.

  • Workers can cancel the activity anytime by pressing Cancel Activity.

3. Extending the Timed Activity

  • If the task requires more time, workers can add an extra 10 minutes by extending the timer.

  • This flexibility allows the monitoring system to adapt to real-world situations.

4. Ending the Timed Activity

  • When the timer expires, the app prompts the worker to check in by pressing Complete Activity.

  • This confirms the task is done safely and stops the timer.

  • If the worker does not respond, the system sends reminder notifications.

5. Alerts for Monitors

  • If the worker fails to check in, extend the timer, or respond after reminders and the grace period, the monitor’s dashboard turns red.

  • Monitors receive notifications indicating the check-in is overdue, prompting immediate follow-up.

Who Should Use Timed Activity?

Timed Activity is especially useful for:

  • Workers performing short-term or one-off tasks that have a clear start and end time (e.g., a client visit, equipment inspection, or site check)

  • Employees whose tasks have variable or uncertain durations, requiring flexible timing

  • Those working in higher-risk situations where more frequent or task-specific check-ins improve safety

  • Workers who want to communicate specific task details to their monitors for better oversight

  • Anyone needing a more precise safety timer than standard shift check-ins allow

Using Timed Activity helps provide clear, task-focused monitoring without needing to adjust the entire shift’s check-in schedule.

Why Use Timed Activity?

Timed Activity is perfect for workers who:

  • Have tasks with variable or short durations

  • Need to provide specific details about their current activity to their monitor

  • Require a more precise and flexible check-in schedule than regular shift timers allow

It enhances safety by providing clear, task-specific timing and communication, helping both workers and monitors stay informed and responsive.

Tips for Workers

  • Always provide clear descriptions when creating a Timed Activity.

  • Use the extend feature if your task runs longer than planned.

  • Respond promptly to check-in prompts to avoid unnecessary alerts.

Tips for Monitors

  • Watch for overdue Timed Activity alerts and follow your escalation procedures.

  • Use activity details to better understand the worker’s current situation.

  • Encourage workers to use Timed Activity for tasks with uncertain duration.
