Action Notices: Keeping Monitors Informed Without Overload

Action Notices are non-urgent notifications sent to designated Monitors when Workers perform certain routine actions. Unlike Alerts, which indicate emergencies, Action Notices provide updates on status changes—such as starting or ending a shift—so Monitors stay informed without being overwhelmed. Use Action Notices sparingly to improve situational awareness and support proactive decision-making.

 

Why Use Action Notices?

  • Enhance Situational Awareness
    Monitors receive timely updates on Workers’ routine activities (for example, when a Worker starts or ends a shift).

  • Support Proactive Monitoring
    By knowing when Workers change status, Monitors can adjust schedules, plan follow-ups, and allocate resources more efficiently.

  • Avoid Overload
    Because Action Notices are informational rather than urgent, they help Monitors focus on Alerts (emergencies) without missing important non-critical updates.

How Action Notices Differ from Alerts

  • Alerts

    • Triggered by potential emergencies (Missed Check-Ins, Help Requests, Man Down detections).

    • Require immediate Monitor intervention.

    • Sent via SMS, email, phone call, or other emergency channels.

  • Action Notices

    • Triggered when a Worker performs a routine action (Start/End Shift, High Risk check-in, Man Down status change).

    • Do not require immediate action.

    • Delivered via email (or SMS if you have the Communication Plan).

Use Action Notices sparingly. Too many notices can distract Monitors from genuine Alerts.

 

Available Action Notices

You can notify Monitors when Workers perform any of the following actions:

  • Started a Shift

  • Ended a Shift

  • Set a High Risk Check-In

  • Changed Man Down Status

 

How Action Notices Are Sent

  • Email (available to all accounts)

  • SMS (optional; requires the Communication Plan)

Monitors receive an email or SMS that includes the Worker’s name, the action performed, and the timestamp.

 

Setting Up Action Notices

Before Monitors can receive Action Notices, you must enable the feature and choose which notices to send.

1. Enable Action Notices in Feature Management

  1. Log in to the Ok Alone dashboard at https://my.okalone.net.

  2. In the sidebar, click Settings.

  3. Select Extra Features.

  4. Under Dashboard Features, check Action Notices.

  5. Click Update Your Feature Settings to save.

2. Configure Company-Level Action Notice Settings

  1. In the sidebar, click SettingsCompany Settings.

  2. On the right side of the screen, locate the Use Action Notices option.

  3. Select Yes to enable Action Notices.

  4. Check the box next to each notice you want to send to Monitors:

    • Started a Shift

    • Ended a Shift

    • Set a High Risk

    • Changed Man Down

  5. For each notice, choose the contact method (Email and/or SMS).

  6. Click Save (or Update Company Settings).

Note: We recommend enabling only the most relevant notices. Too many notifications can overwhelm Monitors and reduce the effectiveness of both Action Notices and Alerts.

 

Best Practices

  • Select Only Essential Notices
    Limit Action Notices to critical status changes (for example, Start/End Shift) to maintain clarity.

  • Clarify Expectations with Monitors
    Explain which notices they will receive and how often. This prevents confusion if they receive an email or SMS for routine updates.

  • Review Periodically
    As your team’s workflow evolves, revisit which notices are active. Disable any that no longer add value.

  • Combine with Alerts
    Ensure Monitors understand the difference between an Action Notice and an Alert. Action Notices are informational; Alerts demand immediate response.

 

Troubleshooting

  • No “Action Notices” Option in Extra Features

    • Confirm you’re logged in as an Admin or have the “Feature Management” permission.

    • If the option is still missing, contact customer.support@okalone.net.

  • Monitors Are Not Receiving Notices

    • Verify that Use Action Notices is set to Yes under Company Settings.

    • Confirm that the specific notice types are checked and that each Monitor’s contact information is correct (email and/or phone number).

    • If using SMS, ensure your account has the Communication Plan and that Monitors’ phone numbers are formatted correctly (e.g., +1 XXX XXX XXXX).

  • Too Many Notifications

    • Return to Company Settings and uncheck any notice you no longer need.

    • Encourage Monitors to set up email filters or folders for Action Notices if they still feel overwhelmed.
